SKGABC Seeking Membership Coordinator

We are seeking a dedicated and organized Membership Coordinator to join our team! This role is essential in managing member relations, ensuring smooth operations, and providing excellent customer service. The ideal candidate will have a strong administrative background, proficiency in office software, and exceptional communication skills to support our membership base effectively.

Title: Membership Coordinator (MC) 

Reports to: Executive Director (ED)  

Job Overview
Responsibilities  

General:  

The Membership Coordinator (MC) will assist the Executive Director in maintaining the membership database, managing the email inbox, processing paperwork, communicating with membership, issuing certifications, and working on special projects.

Memberships 

The MC will take care of everything to do with memberships including but not limited to the following: 

  • Straight forward responses based on policy, and how to re-certify 
  • Direct larger issues to appropriate avenues 
  • Process Membership payments - does not deal merchandise 
  • Alliance inquiries I.e. “Taking a course, where to go?” 
  • Course Provider – process course reports and evaluations 
  • Create members files 
  • Contact students with website profiles and send welcome letter 
  • Emailing membership cards and resources 
  • Maintain the database on current and former members 
  • Confirm job postings (Validity) 
  • Verify document uploads to members pages (review and approved docs submitted) 
  • Review and approve all Facebook join requests (cull non-members) 
  • Receive and update participant lists from exchanges who are getting “ongoing training” 
  • Regular Zoom Meetings with ED  

Administration:  

The MC will assist in maintaining the administrative files of the SKGABC.  

Monitor email inbox, categorize emails, and answer emails pertaining to routine inquiries, straightforward certification /course questions and updates  

Maintain database on current and former members, including processing new applications and uploading and approving new document submissions promptly  

Issue new or renewal membership and certification promptly as required 

Social Media / Website:  

Confirm job and employment wanted postings to the website are valid & edit 

Monitor SKGABC Private Facebook Group account, and note any posts that require response  

Requirements:   

● Preferably be a member of the SKGABC with good understanding of policy and certification requirements  

Highly self-motivated and driven toward maintaining “inbox zero”, with a target response time within 2 days, or sooner for urgent messages 

Possess proficient knowledge working with various computer software (Google Workspace/Microsoft Office Suite/ database systems, etc.)  

Ability to work from home, with access to computer and internet

Excellent oral and written communications skills, interpersonal skills, analytical thinking  skills, and organizational skills 

Experience in and highly oriented to customer service 

Compensation:    

Compensated at a rate of $23.00 per hour during a three-month probationary period, with the possibility of an increase to $23.50 /hour based on an assessment after three months 

Wage will be reassessed annually based upon performance 

Position is approximately 1/8  time (5 hrs per week), depending on season and organizational needs 

Hours tend to peak in the spring and fall, with lows in winter and summer. However, devoted time does need to be set aside regularly for responding to email and managing certifications even in the summer.

Training and Review  

A probationary period of 3 months will apply  

Review of performance and duties as MC will occur on a biannual basis, in order to  enhance, clarify, or adjust roles. These reviews will take place around May and November at a mutually agreeable time, by the Executive Director and/or by a suitable member of the  board
